R&D Administrative Assistant

Job Description:

Provide general administrative support to the engineering department. Tasks may include ordering and setting-up lunches/dinners, scheduling meetings using Meeting Maker, facilities setup, filing, copying, and mail distribution. Provide backup as required to other members of the engineering department administration staff.

Duties include, but are not limited to:

  • Expense reports: Create accurate expense reports for members of the engineering team following established company expense guidelines;
  • Order and maintain office supplies for the engineering department;
  • Generate travel and purchase requisitions as needed;
  • Assist training department in coordinating training classes; printing and shipping of training manuals; reconciling invoices;
  • Maintain software licenses;
  • Assist in organizing department and company events.

Job Requirements:

  • Minimum of two years of administrative experience, preferably in a high tech environment.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and a Windows-based environment.
  • Knowledge of Internet search methods.
  • Strong analytical, administrative, project management and organization skills.
  • Detail oriented, with the ability to follow through.
  • Ability to multitask as well as the flexibility to adapt to changing priorities.
  • Familiarity with software licensing and maintenance desired.
  • Experience with Meeting Maker a plus.
  • “Can do” attitude and a willingness to “do what needs to be done” are essential.
  • Ability to lift 25 pounds.

Customer Care Specialist – Order Operations

Job Description:

The Customer Care Specialist is an integral member of the Customer Care Operations team at Synplicity. In this role, the successful candidate will be responsible for customer service and relations, order processing, database & document management system maintenance, software licensing and shipping of software and hardware products to Synplicity customers world-wide. This position will report to the Senior Manager, Customer Operations.

Key Responsibilities will include:

  • Order Fulfillment - Order validation, data entry, software licensing, email and physical shipment of product.  Role includes extensive interaction with world-wide Sales teams and Corporate Finance.

  • Customer Licensing – Creation of software license files for new sales orders, maintenance renewal orders, re-hosts, loans, and other requests as required.

  • Database Maintenance – Accurately enter customer and order data into internal systems including Softrax and Interwoven Worksite (document management system). This also includes periodic data maintenance and updates.

  • Customer Operations Records - Responsible for customer electronic order packets including purchase orders, sales quotations, and supporting documents in compliance with auditing controls.

  • Customer Response Management – Screen, direct and respond to customer correspondence via e-mail and phone regarding order status, pricing, licensing, payments, etc.

  • Research – Provide information on customer, company, installation and invoice history to both internal and external customers as required.

  • Maintenance of Special Contract Agreements – Involves in depth understanding of contract and detailed maintenance of customer license & installation data.

  • Required Skills :

    • Minimum 2 years experience in software customer operations
    • Must have extensive data entry experience, attention to detail critical.
    • Excellent verbal and written communication skills
    • Proficient with Microsoft Office and web browser
    • Familiarity with Software Licensing concepts
    • Experience using various database systems
